May 1st 2014


  1. Copier Management/ Copier codes
    • Region IX Main Office: Codes will be by department. You will be required to enter a code when you print as well as when you make copies. A cheat sheet with copier codes and instructions will be placed / attached to each copier. Once we implement the code requirement you will need some settings modified in your computer in order to print. We will notify everyone via email when this occurs.
    • Head Start Office: Codes for copiers will be by individual. Individuals will be responsible for their own codes. A cheat sheet with instructions for copying will be placed at the copier.
  2. Office supplies orders
    • An effort to minimize office supply orders will be made, consolidation of office supplies will be in process. A method to centralize orders will be developed and implemented.
  3. Requisitions, Travel, PO’s
    • Everything needs to be in for the year.
  4. Records Storage and Cleanup will be done by June 26th 2014
    • Total Destruction company will be scheduled to be at Region IX June 30
    • Each program will be looking at records stored and organize, shred what is appropriate, and store what needs to be stored according to program requirements.
    • Recommendation to post disposition date on box.
  5. Calendars and R9 Accountability
    • Salary Scales for departments will be delivered to Executive Director by June 9th.
    • Work Calendars for 2014-2015by program and individuals will be delivered to Executive Director by June 9th.
    • The data collected from R9 Accountability informs our annual performance report and also functions to validate contract days for all employees. We will continue to use some some form of tracking. Leadership will research options to replace existing system.
  6. Mission and Goals of leadership for 2014-15
    • July 8th all day leadership meeting to discuss Goal Achievement.
  7. Personnel Action Request
    • Form for each employee that follows that employees work history while at Region IX.

Departmental News




Education Services:
RFPs for related services bids are due on Friday, May 2nd. Hopefully, will be able to finalize staffing by the next week. Last related services meeting is May 8th. Last IEP training is May 15th.
Started some goal planning with educational services staff to gear up for 2014-15 school year. Child find is wrapping up for the year. Attendance has been down, but enrollment in districts is down as well. Carl Perkins redistribution application was submitted to CCRB last week.
Developmental Services:
Working with DOH to expand respite services for children B-3
Working with LEAs to complete as many Transition Conference meetings before school is out---- for those children turning three in summer month
Submitted MOU to all LEAs
Attending Child Find screening clinics, assisting with that process in Capitan, Carrizozo, Corona, Hondo and Ruidoso
Working with NHECC, decision was made to allow us to move some of our materials, equipment to Food Bank Portable
Last Community Playgroup is May 20th
Ensuring that new referrals are processed quickly and efficiently.
Technology Services:
• Technology services survey for support sent to member district superintendents
• Technology Instruction training menu / survey sent to member districts.
• Maze of Life booth - Social Media - all 8th grade students from all 7 Region IX District Schools.
• Sample of Technology Curriculum Integration work being done.  Billy the Kid field trip - students in Lincoln
• Working to assist transfer of technology for CTLP from Region IX to ENMU during transition of program.
• 64 Tickets resolved thru the help desk ticket system this month
• Web Page work - Most department meetings are done.  Had initial meeting regarding overall Web Page.
• PARCC Testing as a sample site done in Tularosa.  Indications are it is different than the SBA test and different than what we had thought it would be like.  That there is room for improvement and also room for preparation of both students and staff.
• Technology Blog - link go subscribe and keep up to date.
• Leadership Blog is prepped and ready to be deployed, editors include Teresa Barnett, April Stirman and Bryan Dooley. -- Accepting members from leadership team  to participate as editors (maybe all of leadership and rotate turns?)   --- Accepting participants for design of page.  
All leadership will be added as editors.
Blog post will be sent to leadership for edit purposes, then will be published 2 days after meeting.
Head Start
As of today, we have 10 more days with children.
Working on end-of-the year projects - Parent/community appreciation - May 9th @ 8:30- all invited.
Little Olympics - May 13th @ 10:15 - need volunteers
All documents will go before CC & PC.
Working on COLA.
No word on the grant - less than 60 days from the end of the FY.
Might have up to 5 positions to replace next year.
Moving Hondo  -pending - a lot of projects on hold due to the refunding grant.
Human Resources/Events Facilitation:
Currently 47 events May-June 2014
School Based Health Services:
1.Attended Head to Toe with Staff--including Collaborative meeting with SHCIP Grant Team.  Focus was on planning for next year’s focus--EHR, QI work,
2. Grant submission last Friday for the Counseling Grant
3. End of year sports physicals in progress.  Trying to maximize ML Estes, NP time /days of service. Also working on credentialing ML Estes.
4. Medical record review begins on Monday.
5. MAZE was successful event--social media was a popular booth!  

WIA:
1.Waiting on AE and State Reports.  State monitoring went very well.
2. New staff is doing well.
3. Implementing some new processes.  SS docs, timesheets?
3. Summers are busy so activity picks up.
